| I had a really weird situation happen this week. On Oct 13 I sold a minifig as
part of an order. I only had one of that minifig in my inventory. On the order
details page for that order it clearly shows that 1 was ordered, and 0 were left
in my inventory. On Oct 18 I had another order that included that figure. I'm
not sure how, but Bricklink allowed a duplicate sale of an item I only listed
one of. Has anyone else had this happen to them? I've had inventory issues
occasionally, and figured it was just an error on my part, but this time it is
very clearly a Bricklink system issue with documentation to back it up. It makes
me nervous that this sort of thing will happen more in the future.

Are you certain that both of these items were sold from the same lot? How sure
can you be that you didn't have this item listed twice? Or that there wasn't
a mix-up with a very similar item?

Yes, they both show the same lot #. If I listed it twice, or had a similar item,
it would have a different lot # on each order. That is why I'm so confuse
about how this happened.

The first order that came through I had to send an invoice and was paid later,
but still onsite payment. I didn't even realize i had offsite as an option,
I'll have to look into that. I have another order that I am currently waiting
on payment for, so I checked if the items in that order are currently still available
in my store, and they aren't, so I don't believe that an order that hasn't
been paid yet would affect what another person could order.

See, this is where we all get down to the nitty gritty of the difference between
a quote request and a pro-forma invoice. I've always been of the view that
a quote request (which does not have an order number) did not remove anything
from inventory, but a pro-forma invoice (one waiting on the seller to plug in
the shipping) did remove the items from inventory, when the order number was
created but before the payment was pushed thru by the BL system. Now, if my understanding
is wrong, and the deduction of the quantities is actually happening when the
payment is captured, that might be part of this story.
Was there an overlap, where the second order came thru while the first order
was between creation and payment collection ? If so, that might explain a lot.

There was about a half a day overlap between when the second order came through,
and when the first order was paid for after that. So that was my initial thought
as well. I had another order that was also waiting payment earlier today, so
I checked the items in that order to see if they were available in my store.
I did it from another device that I was not logged into Bricklink, just to be
sure. The items in that order were not in my shop, so I am thinking that the
system does remove them from being ordered by someone else, even before the order
is paid for. Thankfully! It seems that this is either a one off issue, or it
may have been an error on my part as discussed with another user below. Hopefully
I will be able to verify that for sure soon.

All of my orders are paid when order is created, so I'll never see this situation.
There is a display, up on the right side of the orders received screen that says
In Progress[0]. I've never seen it say anything other than 0. Obviously,
for some sellers, there may be a non-zero number in there. Hmmmm
Now, over in the Help Center, I found this (on the Instant Checkout FAQ page)
...
| When buyers are submitting payment through an instant checkout method, the order items are reserved for 10 minutes to allow time for processing. During this time, you will see the order on your Orders Received page in the "In Progress" tab. Please do not adjust your inventory during this time.
|
Well, that's helpful. I have to check In Progress each time I want to change
my inventory ? Hmmmm

The amount left shows the current amount in your inventory. both would show
0 left in inventory until the order is marked as completed. At this point, the
amount would show the amount in inventory at the time it was marked as completed.

No that's not correct, the order status doesn't have anything to do with
the inventory numbers on the order details page. I've had orders for the
same part on the same day and the inventory numbers are reflected correctly for
each order. Ex: 12 parts in inventory, 5 get ordered, then 7 on another order.
First order details page says 5 in order, 7 remain in inventory. Second item
details page says 7 in order, 0 remain in inventory.
Even so, once your inventory reaches 0 on any part, it shouldn't allow another
order for the same part, no matter what status any order is in.

I know for my store as well as others that have posted on the forum in the past,
it keeps track of the running total overall, not after that order. Maybe there
is a setting difference between some stores?

I just checked in my store settings and it seems like the way I see it shoud
be correct. I don't know why ot shows different for you.
"The Option Show Qty Left in My Inventory on an order detail screen shows
remaining stock of the item sold in the seller's inventory. Only the seller
in that transaction can see quantity information. This information is dynamic,
meaning it shows quantity left in the inventory at the time the order detail

Yes, you are correct. It is dynamic and changes if you go back in and view the
order details later. I guess I never noticed that as I print out each order to
pull the parts, so I just see it in that moment in time. That could be the answer,
but I'm almost positive it also showed zero left in my inventory at that
time, since I usually verify the remaining inventory # matches what I physically
have while I am pulling parts as a way to keep my inventory accurate. I will
have to reach out to my first buyer and see if they can tell me what it said,
since I printed that invoice out on 10/14, 4 days before the second order. If
it says 1 left in inventory, then you may have solved my issue, if it says 0,
I'm back to square one. Thank you.

This information is dynamic,
meaning it shows quantity left in the inventory at the time the order detail
screen is viewed."

Thank you.

No problem, hopefully you find it!

I had something crazy happen this week as well. I sold 17 of a minifigure that
I only had 2 of. I've never had a mis-count of minifugres that far off before.
